The data controller for this platform is Kanjo Solutions Ltd, a company registered in England and Wales. We operate the Kanjo platform at kanjosolutions.co.uk, providing psychosocial risk assessment, ISO readiness and HSEQ management tools to UK businesses.

2. What Data We Collect

We collect the following categories of personal data:

3. Why We Collect It and Our Legal Basis

We only process your personal data where we have a lawful basis under UK GDPR Article 6:

  • Contract performance (Art. 6(1)(b)): To create and manage your account, process assessments, and deliver purchased reports.
  • Legal obligation (Art. 6(1)(c)): To maintain records required under UK law and respond to regulatory requests.
  • Legitimate interests (Art. 6(1)(f)): To maintain platform security, prevent fraud, and improve the service. We have carried out a legitimate interests assessment confirming these interests are not overridden by your rights.
  • Consent (Art. 6(1)(a)): Where you have given specific consent, such as to receive marketing communications. You may withdraw consent at any time.

4. How Long We Keep Your Data

We retain your data only for as long as necessary for the purpose for which it was collected:

  • Account data: Retained for the duration of your account and for 7 years following account closure, in line with UK accounting and tax record requirements.
  • Assessment data: Retained for the lifetime of your account. You may request deletion at any time via account settings or by contacting us.
  • Audit logs (IP/timestamps): Retained for 12 months for security and fraud prevention purposes.
  • Deleted accounts: On account deletion your personal data is immediately anonymised — name and email address replaced with pseudonymous values. Anonymised records are retained for audit purposes only.

5. Who We Share Your Data With

We do not sell your personal data. We share data only with the following categories of processor, under appropriate data processing agreements:

  • Cloud infrastructure: Our platform is hosted on Railway (United States). Where data is transferred outside the UK, appropriate safeguards (UK International Data Transfer Agreements or equivalent) are in place.
  • Payment processor: Payment card processing is handled by a PCI DSS-compliant third party. We receive only a payment reference — no card data is stored by Kanjo Solutions Ltd.
  • AI/LLM provider: Assessment responses may be processed by an AI language model to generate report content. Data is governed by our data processing agreement with that provider and is not used to train external models.
  • Regulatory or legal authorities: Where required by law or court order, we may disclose personal data to law enforcement, regulatory bodies, or legal authorities.

6. Your Rights Under UK GDPR

You have the following rights in relation to your personal data:

Request a copy of the personal data we hold about you. Available via the data export feature in your account settings.
Right to rectification (Art. 16)
Request correction of inaccurate or incomplete personal data via your account settings or by contacting us directly.
Right to erasure (Art. 17)
Request deletion of your account and personal data. Legal retention obligations may apply to certain records.
Right to restriction (Art. 18)
Request that we restrict processing of your data in certain circumstances, such as while a complaint is being investigated.
Right to portability (Art. 20)
Receive your data in a structured, machine-readable format via the data export feature in your account settings.
Right to object (Art. 21)
Object to processing based on legitimate interests or for direct marketing purposes, with immediate effect.

7. Cookies and Tracking

The Kanjo platform uses a minimal set of cookies required for the platform to function. We do not use advertising or behavioural tracking cookies.

  • Session cookies: Strictly necessary. Used to maintain your authenticated session. Expire when you close your browser or sign out.
  • CSRF protection cookies: Strictly necessary. Protect against cross-site request forgery attacks. No personal data is stored in these cookies.

Because we only use strictly necessary cookies, we do not require your consent to set them under the Privacy and Electronic Communications Regulations (PECR) 2003.

8. Changes to This Policy

We may update this Privacy Policy to reflect changes in law, technology, or our business practices. When we make material changes, we will notify registered users by email at least 14 days before the changes take effect.

The date at the top of this page indicates when the policy was last updated. Continued use of the platform after the effective date constitutes acceptance of the updated policy.

9. Complaints

If you are unhappy with how we have handled your personal data, please contact us first at privacy@kanjosolutions.co.uk. We aim to respond to all complaints within 10 working days.
